What is meeting intelligence?
Definition
Meeting intelligence is software that records, transcribes and analyses meetings to turn conversation into usable information: summaries, action items, decisions and risks. Basic tools stop at notes for each call; more developed ones connect meetings over time and make what was agreed available to teams and their other systems.
Also called: conversation intelligence, AI meeting assistant, AI notetaker
Updated
Meetings are where much of an organisation’s decision-making actually happens, and most of it has historically left no record beyond someone’s notes. Meeting intelligence tools set out to change that by joining calls, transcribing them and extracting what matters.
How it works
Most tools follow the same sequence. A bot or integration joins the call on Zoom, Microsoft Teams or Google Meet. The audio is transcribed, usually with speaker labels. A language model then produces a summary and pulls out structured items such as action points and decisions. The output goes to attendees by email or sits in the tool’s own library.
Capture vs coordination
The category divides on what happens next. Capture tools treat each meeting as a separate document: accurate notes for that call, filed away. Coordination tools treat meetings as a continuous source, linking a decision in one call to the follow-up in another, updating plans and making the record available to people who were not there and to AI tools. The buying guide sets out questions to tell the two apart.
Why it matters
The value of a meeting record is mostly realised later, by someone else: a colleague who missed the call, a manager reviewing a project, an AI assistant asked about a client. Notes that stay in one person’s inbox do not reach them. In the Coordination Tax Index 2026 (In Parallel, n=247 managers, Pollfish, June 2026), managers reported 3.8 hours a week searching for past decisions. A recording nobody can find does not shorten that search.
How In Parallel approaches it
In Parallel’s Notes joins calls across Zoom, Teams and Meet, transcribes in more than 50 languages and extracts nine signal types: decisions, actions, risks, dependencies, escalations, opportunities, learnings, progress updates and obstacles. These feed a shared record rather than a per-meeting summary, kept current in Pages and served to AI tools over MCP, within each person’s access as set out on the security page.
FAQ
Common questions
- Is meeting intelligence the same as a transcription tool?
- Transcription is the first step. Meeting intelligence adds structure on top: who decided what, which actions were agreed and by whom, which risks were raised. The useful question when comparing tools is what happens to that structure after the meeting ends.
- What is the difference between meeting intelligence and conversation intelligence?
- Conversation intelligence usually refers to sales-call analysis: talk ratios, objections, deal signals. Meeting intelligence is broader and covers internal and cross-team meetings as well as customer calls.
- What should I check about privacy?
- Where recordings and transcripts are stored, whether the vendor trains models on them, who inside your company can see each meeting, and how long raw recordings are kept. A transcript holds everything that was said, sensitive or not.
