Shared client memory for communications and marketing agencies | In Parallel

Use case · Agencies

The client said it once. The whole agency heard it.

Client feedback lands on the account call and reaches the studio second-hand, if it reaches it at all. In Parallel picks it up from the status calls, the reviews and the client channel, and keeps it as one memory per client. The account team, the creatives and the AI tools they draft with all work from that memory.

The problem

Where agency margin leaks

01

The client changes direction on Tuesday’s status call. The studio hears about it at Friday’s WIP, after two days spent on the old brief.

02

Contact reports get written late or not at all. When the client later remembers the agreement differently, the agency has three people’s recollections and nothing written down.

03

Account managers move on and freelancers rotate through. Each takes part of the client’s history with them, and whoever comes next rebuilds it from forwarded email chains.

04

Everyone drafts with AI now, and every prompt starts from nothing. Each person pastes in the client’s tone of voice, the routes already rejected and the claims legal will not approve, by hand, every time.

How it works with In Parallel

One client, one memory

01

Capture

In Parallel joins the status calls, creative reviews and planning workshops, and reads the client’s Slack or Teams channel and the account inbox. Nobody has to write a contact report for the record to exist.

02

Structure

It pulls out the client’s decisions and feedback, what each side committed to, the open questions and the risks, and organises them as it goes.

03

Serve

Each client gets its own workspace, published as an MCP endpoint. The account lead’s, the strategist’s and the copywriter’s Claude, Copilot or ChatGPT all read the same current record, and only people on the account can see it.

In practice

What this looks like on a Tuesday

  1. Claude

Before the quarterly review, the account director opens Claude and asks:

What has the client pushed back on since launch, and what did we promise in return?

Claude answers from the client’s record.

  2. ChatGPT

A copywriter drafts the next round in ChatGPT with the client workspace connected. It already knows which route the client killed in last week’s review.

  3. ChatGPT

A freelancer joining for a three-week burst asks ChatGPT for the account so far and starts from the client’s record, not a day of reading email threads.

  4. Account lead

When the client asks for one more round of changes, the account lead checks what the scope conversation actually agreed before replying, rather than relying on what anyone remembers.

The objection

Why not a notetaker, or one AI for the whole agency?

A notetaker gives each person their own notes from the call, so the studio still hears about it second-hand. One AI memory for the whole agency goes wrong the other way: one client’s plans can turn up in an answer about another, and you cannot prove they did not. In Parallel keeps a separate workspace for each client, with its own members, and enforces the separation where the data is read, not by folder names. Workspaces are unlimited, so a new client costs nothing extra to set up. Client data is hosted in the EU and never used to train a model.

4.6hrs / week

A separate workspace for every client, with unlimited workspaces on every plan.
