Programme memory for operations and PMO teams | In Parallel

Use case · Operations & PMO

The plan keeps up with the meetings.

Programmes move in steercos, standups and threads, and the plan document catches up when someone finds the time. In Parallel captures what was agreed as it is said and keeps one programme memory that the PMO, the workstream leads and their AI tools all work from.

The problem

Where programmes lose time

01

The status report is out of date by the time it is sent, because it was written from last week’s notes.

02

Workstream leads spend the steerco reporting status instead of making decisions.

03

A dependency agreed in one team’s meeting never reaches the team that depends on it.

04

The plan lives in a tracker. The reasons behind it live in nobody’s notes.

How it works with In Parallel

One programme, one memory

01

Capture

Steercos, workstream syncs, standups and the programme channel in Slack or Teams.

02

Structure

Decisions, commitments with owners and dates, dependencies between workstreams, risks and open questions.

03

Serve

The programme workspace publishes as an MCP endpoint. The PMO reads it in their AI alongside Asana or Jira, and output moves across by export.

In practice

What this looks like on a Tuesday

  1. PMO lead

Before the steerco, the PMO lead opens Claude and asks:

What did each workstream commit to since the last steerco, and what is still open?

    Answered from the programme record.

  2. Programme manager

The weekly status update is drafted in Copilot from the programme record, then edited rather than written from scratch.

  3. Workstream lead

Before agreeing to move a date, a workstream lead checks which other teams recorded a dependency on their deliverable.

  4. In Parallel

A programme manager joining mid-flight asks for the decisions made so far and why, and starts from the record rather than a handover call.

The objection

Why not a better tracker?

A tracker holds what someone typed into it. The decision to move a date, and the reason, was made in a meeting. In Parallel captures that layer and reads alongside your tracker; it does not write into it. When two plans pull in different directions, the people in the steerco decide, with both in front of them. Data is hosted in the EU and never used to train a model.
