# What is coordination tax?

Definition

The coordination tax is the time and cost a team spends keeping people aligned rather than doing the work itself: status meetings, re-explaining context to colleagues and AI tools, and searching for past decisions. In Parallel's Coordination Tax Index 2026 measured it at 16.5 hours a week per manager.

Also called: coordination overhead, coordination cost

Updated 22 October 2026

The term describes a cost every manager recognises and few measure. Coordination is necessary work, but most of it repeats: telling the same story to a fifth person, rebuilding a status update from scratch, digging through threads for a decision someone is sure was made.

## How it breaks down

The Coordination Tax Index 2026 is In Parallel’s survey of 247 managers in the US, UK, Canada, Australia and Germany, fielded through Pollfish in June 2026. Managers itemised an average of 16.5 hours a week:

- **8.1 hours** in status meetings
- **4.6 hours** re-explaining context
- **3.8 hours** searching for past decisions

That is 41% of a 40-hour week. Asked directly, the same managers put their lost time at 21%. The gap between the two is part of the problem: the tax is spread thinly enough that people underestimate it.

## Why it grows

The Index found coordination hours rise with the number of tools a manager uses, from 13.4 hours a week for those with one to three tools to 32.1 for those with more than ten. Each tool holds part of the picture, so assembling the whole falls to people. AI assistants add to this when every person has to brief their own: 91% of managers load context into AI tools by hand.

## Coordination tax vs execution drift

The coordination tax is the effort spent staying aligned. [Execution drift](https://www.in-parallel.com/glossary/execution-drift) is what happens when that effort fails and the work moves away from what was decided. Teams usually pay both: the tax up front, and drift later when alignment slips.

## How In Parallel approaches it

In Parallel measures the tax through the [Index](https://www.in-parallel.com/coordination-tax) and its calculator, and reduces it with [shared context](https://www.in-parallel.com/glossary/shared-context): decisions captured from meetings by [Notes](https://www.in-parallel.com/notes), kept current in [Pages](https://www.in-parallel.com/pages) and available to every AI tool through [MCP](https://www.in-parallel.com/mcp). The [guide to reducing the coordination tax](https://www.in-parallel.com/guides/reduce-coordination-tax) covers where to start.

FAQ

## Common questions

**How is the coordination tax measured?**

The Coordination Tax Index asks managers to itemise weekly hours on status meetings, re-explaining context and searching for past decisions, and to estimate the share of their week they feel is lost. The 2026 Index blends the two into a score from 0 to 100; it reads 31.

**How much does the coordination tax cost?**

At 16.5 hours a week over 46 working weeks, that is about 760 hours a year per manager. At a fully loaded cost of $85 an hour, roughly $64,600 per manager per year (The Coordination Tax Index 2026).

**Does AI reduce the coordination tax?**

Not on its own. In the 2026 Index, managers who use AI daily reported 20.3 coordination hours a week against 9.1 for non-users. What respondents expected to save was tied to AI that already has the context, a shared-context dividend of 4.4 hours a week.
